This Privacy Policy (the “Policy”) describes how we, Employee Ownership Expansion Network (“EOX”), handle the information we collect about individuals, including users of this website (the “Site”). We want to be sure you understand our practices and how we strive to protect personal information that we collect. By using the Site, you agree to the terms and conditions of this Policy.


We may update this Policy at any time. Any changes to the Policy will become effective upon the date of our posting of the revised Policy on the Site. If you use the Site following that date, you will be deemed to have accepted the Policy’s updated terms.


1. What Types of Information Does EOX Collect About Individuals, and How?


EOX collects “Personally Identifiable Information” (or “PII”), which is information that identifies or is identifiable to you as an individual, such as your name, postal address, telephone number, email address, ethnicity, etc. We collect PII from you, for example, when you submit it to register with us or for purposes of attending an EOX event, when you participate in a webinar or event we host, or when you wish to make a donation or receive materials from us. (We permit donations to be made through our Site, but we do not retain any payment information, such as debit or credit card information, that is used to make a donation.) 


EOX also collects information through the Site that is not PII but relates to your use of the Site. Non-PII is “passively” collected from you through browser navigational tools; for example, the type of device you use to connect to the Site, what website you visited prior to landing on our Site, and the pages you visit on our Site.   


2. How Does EOX Use the Information It Collects?


  1. PII. We may use the PII that we collect for any or all of the following purposes:
  2. Responses to Requests. We may use PII about you to respond to your requests, such as to send you publications or other information, to process your donation, or to answer your questions.
  3. Communications with Registrants, Members and Donors. If you register on the Site to receive information, or to donate to EOX, we may use your PII to inform you of information relevant to EOX and its initiatives, goals and mission. We may also send you information to offer you products, programs, or services that we believe may be of interest to you. You may opt out of receiving such communications, as described in those communications and in Section 4 below on managing your PII.  
  4. Internal Business Purposes. We may also use PII about you for our internal business purposes, such as data analysis, audits, enhancing our website, identifying usage trends and determining the effectiveness of our promotional campaigns.
  5. Other Information. We use non-PII to help improve the Site, such as by analyzing usage of certain pages or functions on the Site. The technologies we use to do this, such as Google Analytics, enable us to compile statistics about our daily number of site visitors or specific page requests.   6. We may also use non-PII, such as aggregated data, for other purposes, but if we were to combine it with any data so that it became identifiable to you or another person, we would then treat it as PII in accordance with this Policy.  


3. With Whom Does EOX Share PII?


We will share your PII with others at your request or with your express consent. In addition:

  1. Service Providers. We may share PII with unaffiliated third parties who partner with us or provide us with services, such as to conduct donation payment processing, data analysis, order fulfillment, or IT services. For example, if you choose to make a donation through the Site, we may share your payment information or other PII with our third party service providers to process the donation in accordance with applicable law.
  2. Acquirers or Assignees. In the event of any reorganization, merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of EOX or its assets, we may transfer any and all information that we collect from Site users to the acquiring party or assignee.
  3. Entities Entitled Under Law. We may disclose PII about you to others as we believe to be appropriate in the following circumstances: (i) when required by applicable law, including laws outside your country of residence; (ii) to comply with legal process (iii) to respond to requests from public and government authorities; (iv) to enforce the terms and conditions for use of the Site, including this Privacy Policy; (v) to protect and defend our rights and property; (vi) to protect the interests and safety of EOX or others; and (vii) to permit us to pursue available remedies or limit the damages that we may sustain. We have no obligation to notify you of such disclosures, except as required by applicable law.


We do not share PII with any third parties for any type of remuneration or for such third parties to use for their own marketing purposes.


4. How Can You Manage PII You Submit?


  1. Managing Communications With You. If you no longer wish to receive promotional emails from us on a going-forward basis, you may opt-out of receiving such emails by following the “unsubscribe” directions in any of such emails or by contacting us as indicated in Section 8 below. We will endeavor to comply with your request as soon as reasonably practicable.  
  2. Updating or Correcting PII. If you would like to review, correct, update or remove PII about you that you previously provided to us, you may do so by following instructions in the emails you receive or by contacting us as indicated in Section 8 below.  For your protection, we will only implement such requests if we can verify your identity using the PII available to us or that you may be willing to provide. We will endeavor to comply with your request as soon as reasonably practicable. Please note that we are not responsible for correcting, updating or deleting any information in the databases of third parties with whom we have already shared your PII.


5. How Does EOX Protect and Maintain PII Collected Through the Site?


  1. Security. We use reasonable organizational, technical and administrative measures to help protect against the loss, misuse and alteration of the information under our control. However, no data transmission over the Internet or data storage system can be guaranteed to be 100 percent secure. Please do not send us information you consider confidential via e-mail. It is your personal responsibility to secure your own copies of your passwords and related access codes for our online resources.
  2. Data Integrity and Retention. We will retain PII about you for the period necessary to fulfill the purposes outlined in this Policy or any longer period prescribed by EOX’s data retention policies or applicable law.
  3. Third-Party Sites. The Site may contain links to third-party websites, such as the websites of the third parties that sponsor our programs. These linked sites are not under EOX’s control and we are not responsible for the privacy practices or the contents of any such linked site, or any link contained in any linked site. If you provide any PII through any such third party website, your transaction will occur on such third party’s website (not this Site) and the PII you provide will be collected by, and controlled by the privacy policy of that third party. We recommend that you familiarize yourself with the privacy policies and practices of any such third parties, which are not governed by this Privacy Policy. 


6. Collection of PII by Others Through Our Site. We do not allow third parties (other than our service providers) to collect information about visitors to our Site by deploying tracking tools on our Site.  


7. Use of the Site by Children. This Site is not directed to children under the age of thirteen (13), and we do not knowingly collect PII from any children under age 13.
